Code Like a Girl (CLG) is committed to respecting the privacy of our community. This policy describes how we collect, use, store and disclose personal information. CLG reviews all policies annually. Please check back here to ensure you have the most up to date information about our Privacy policy.

What is Personal Information?

Personal Information means any information or an opinion from which your identity is apparent or reasonably ascertained. Examples include but may not be limited to your name, date of birth, contact details, your post code and IP address.

When you interact with Code Like a Girl we will only ask you for personal information that we require to be able to deliver our services and programs. The information we collect from you may vary depending on how you interact with us; this is defined through the key services we offer (see below).

When you visit our website

When you visit codelikeagirl.com we collect some information from you in order to improve your experience of our website, and to understand how people interact with our website. This information is used solely for internal purposes to understand how you interact with our website, and personalise content to you while you’re on our website.

While we do not hold responsibility for the privacy practices of external websites (such are those of our sponsors/partners), our vetting practices adhere to the strictest standards in ensuring that their values are aligned to those of Code Like a Girl.

What information is collected?

When you visit our website, we may collect the following:

  • network location and IP Address;
  • the type of web browser you are using (eg. Chrome, Safari, Firefox);
  • your operating system (eg. Windows 10, Mac OS X etc);
  • Flash version, Javascript support, screen resolution and other screen settings;
  • referring site details (for example, the URL that you came through to arrive at the CLG website);
  • pages visited and the time spent on each page;
  • documents downloaded and search terms used.

Code Like a Girl uses Google Fonts, as well as Google Analytics in order to understand how people interact with codelikeagirl.com.

Code Like a Girl also uses Hotjar on our website in order to better understand the needs of our users and to optimise the website experience. Hotjar records data like how much time you spend on which pages, which links you choose to click on. This enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behaviour and their devices. This includes:

  • a device's IP address (processed during your session and stored in a de-identified form),
  • device screen size,
  • device type (unique device identifiers),
  • browser information,
  • geographic location (country only), and
  • the preferred language used to display our website.

Hotjar stores this information on our behalf in a pseudonymised user profile that ensures it can no longer be attributed to a specific person. Hotjar is contractually forbidden to sell any of the data collected on our behalf.

What are cookies and tracking pixels, and does CLG use them?

Yes we use cookies to improve your experience of our website.

Cookies and tracking pixels are small files that websites send to your device that allow them to recognise you when you next visit their site (eg. when an online shopping site remembers what’s in your cart). Traditionally, cookies/tracking pixels don’t contain personal information, but as they become increasingly complicated, it is possible that some may contain information that is able to identify you.

Cookies and tracking pixels generally make your web browsing experience a bit nicer, but you can disable them via your browser settings (some websites may break if you do this). You can configure your browser to accept all cookies, reject all cookies, or notify you when a cookie is sent. Each browser is different, so check the "help" menu of your browser to learn how to change your cookie preferences.

Other information obtained when accessing CLG’s key services

In addition to the information we collect when you visit our website, we may also collect other personal information that you choose to give us, or which may be required to access a particular service. This includes information collected via online forms and learning modules, events and training registration, blog comments, or when subscribing to our mailing list. Examples may include:

  • demographic information (such as name, age and gender identity);
  • contact details (such as email, phone number, address);
  • other preferences, permissions and comments; and
  • where necessary, payment details.

When you provide personal information to us via one of these services, we will only use that information for the purpose for which you provided it to us. If you sign up to our mailing list you can opt out of further contact from us at any time.

Competitions

When participating in CLG’s Tech Puzzles for Problem Solvers, or any other CLG competition, we collect personal information from you in order to run the competition. The information we collect may include:

  • first and last name;
  • location details (such as postcode and country);
  • date of birth;
  • gender identity and
  • your IP address.

Information collected for the purpose of entering a Code Like a Girl competition will not be used for any other purpose unless we get permission from you to do so.

Social media or email 

We use social media and email to communicate with our community and the public. In some circumstances we may collect personal information from you via these channels. For example, if you send us a direct message or an email, we may need to collect some information in order to contact you, such as your name and contact details.

Any information we collect from you via social media and email will be handled appropriately and in line with this Privacy policy. Please do not share excess personal or sensitive information with CLG via these channels.

Community events and other in-person programs

Code Like a Girl occasionally runs community events and other initiatives where people come together (programs). In order to make this happen we collect some personal information from you. We only collect personal information that is necessary in order to effectively and safely deliver our programs. This may include contact details provided through the registration process (eg. name, phone number, email address), as well as when providing feedback following the program.

We do take photos at our in-person programs but will always let you know before we do so, and provide you with the opportunity to opt-out of any photography.

CGL’s Internship program or recruitment of CLG staff

When you submit an application for our Internship Program or to join the Code Like a Girl team as an employee or volunteer, we collect personal information in order to process your application. In addition to the information collected by visiting the website, this will include any information you provide to us through your application including your CV, Cover Letter, and application video.

Once CLG has your personal information, what happens to it?

Code Like a Girl works with a number of third party platforms and service providers in order to provide our services.

We sometimes use third party services such as AWS, Hubspot, Mailchimp, Affix, JobAdder, Typeform and event registration platforms in order to collect, process and store your personal information. From time to time we may also share your personal information with our partner organisations to deliver specific services.

We may occasionally hire other companies to provide services on our behalf, including but not limited to handling customer support enquiries, processing transactions or customer freight shipping. Those companies will be permitted to obtain only the personal information they need to deliver the service.

In some circumstances your personal information may be transferred outside of Australia for storage and processing in offsite server locations.

Examples of ways we may disclose personal information include but are not to:

  • our employees;
  • third party suppliers and service providers (including providers for the operation of our websites and/or our business or in connection with providing our products and services to you);
  • professional advisers, dealers and agents;
  • payment systems operators (eg. merchants receiving card payments - such as Stripe);
  • our existing or potential agents, business partners or partners;
  • our sponsors or promoters of any competition that we conduct via our services;
  • anyone to whom our assets or businesses (or any part of them) are transferred;
  • specific third parties authorised by you to receive information held by us; and/or
  • other persons, including government agencies, regulatory bodies and law enforcement agencies, or as required, authorised or permitted by law.

Does CLG use my personal information for direct marketing?

We may send you direct marketing communications and information about our services and products. This may take the form of emails, SMS, mail, or other forms of communication, in accordance with the Spam Act 2003 and the Privacy Act 1988.

You may opt-out of receiving marketing materials from us by contacting us using the details set out below or by using the opt-out facilities provided in the communications (eg. an unsubscribe link).

Data quality, security and deletion

CLG takes reasonable steps to ensure that the information we hold is accurate, complete and up to date. If you think that any personal information we hold about you is inaccurate, please contact us and we will take reasonable steps to ensure that it is corrected.

We also take reasonable security precautions to protect your personal information from misuse and loss, unauthorised access, modification or disclosure, however, we cannot guarantee the safety of your personal information. When your personal information is no longer needed for any purpose (for example an application for a vacancy), Code Like a Girl will delete the personal information we hold about you.

How CLG manages your personal information

To ensure your personal information is protected and managed appropriately, CLG has a set of security measures in place. These include:

  • access control measures set by user permissions (eg. account administrator vs member)
  • use of a password manager tool
  • use of multi-factor authentication across all system accounts
  • automated data and server back-ups
  • software updates on all assets (eg. laptops and other devices)
  • employee induction and annual training on these measures

Accessing your personal information

If you would like to access the personal information we hold about you, you can get in contact with us to request access. Sometimes we may not be able to provide you with access to all of your personal information. If this is the case, we will let you know why that is. We will also need to verify your identity when you request access to your personal information.

Code Like a Girl reserves the right to charge a fee if the request requires a significant amount of administration work to search for and provide access to your information.
